Application Process for Maymester Programs

This page will inform you on what documentation is required for the application process.

The following documents are required to secure your spot on the program.

The Study Abroad Office recommends that students follow the steps listed in the tab below as they are formatted to assist students with the study abroad program process.


Sign-Up, Application Documents, & Steps to Succeed

To access the Clayton State Study Abroad Portal, students will be required to login with their Clayton State username and password credentials to complete the forms.

All of the following documents are required for all participating study abroad students. 

The STEPS listed below are recommendations for a successful study abroad process for a Clayton State program, however, if students are waiting for a passport to arrive or a form to be completed with another department, we HIGHLY recommend proceeding forward with the next steps to accelerate completing the remaining documents.  Please speak with the Study Abroad Office if you have any questions or concerns. 

Failure to complete these documents may be a dismissal from the program.

  1. Submit your Application Contract for the study abroad program. See below for your programs application link to the form.
  2. Do you have a passport or need to renew your passport? If you need a passport this must be done ASAP.  Due to high wait times with the Passport Agency, there are large delays with obtaining a passport. Check out our Passport & Visa page to learn more about when you should get started.
  3. REGISTER for Pre-Departure Orientation: RSVP for the Pre-Departure Orientation, which is coming up on February 16, 2024.
  4. Have Questions?  Schedule an Advising Appointment with the Study Abroad Office.  Program participants can schedule an advising appointment after applying for a study abroad program. Applicants will meet with the Study Abroad Manager and discuss some of the vital program information. Book your appointment on our Contact Us & Advising website and find the advising information for "Advising for Clayton State Program Applicants - Online Appointment’.
  5. Complete the Course Selection Form.
  6. Complete the Health Clearance Form.
  7. Submit a Copy of your Passport.
  8. Complete the COVID-19 Informed Consent Form.
  9. Pre-Departure Orientation: Don't forget to attend the Pre-Departure Orientation, which is coming up on February 16, 2024.  See the Orientation tab for more info and how to RSVP on the program website.

Failure to submit the necessary documentation may dismiss you from the program.

The Bahamas Application Contract

  • The Application Contract is required for all participating study abroad students. 
  • Select the application for the program you wish to attend. 
  • Please read and review over this document carefully as this document will detail your program and Clayton State University’s policy and procedures.
  • Students must apply FIRST before you are able to make a program payment.

Application Contract Approval Process:  The Program Director will reach out once they have received your application.  They will schedule a meeting with you to discuss the upcoming program before completing the next stepsStay tuned for the Program Director's email!

Passport Processing Dates Updated as of 9/21/2023

A copy of your Passport is required as part of the pre-departure process. This document must be turned in as soon as possible in order to organize airfare and travel abroad. 

  • It takes 10-13 weeks (that's about 3 - 4 MONTHS!) to apply for a Passport; if you are using the routine service, then expect to receive a Passport within 13 weeks. There is an expedited process for a Passport, which takes about 7-9 weeks, please note that for the expedited service their are additional fees.  Not including snail mail for delivery sending the passport to the Passport Agency and receiving the passport once it's ready.  Please see the Passport Agency's website as these times can vary. 
  • If a student does not have their passport by the necessary deadline then this may prevent the student from traveling abroad.
  • Think of this document as your international travel pass. Just as you have a driver's license here in the States for identification purposes, a Passport is your personal identifier overseas; if you don't have a passport then you cannot travel abroad.
  • Non-Expedited (no additional rush fee):

    • Maymester Programs:  Submit the passport application by October 23, 2023.
  • Expedited (an additional rush fee):

    • Maymester Programs:  Submit the passport application by November 27, 2023.

The Course Selection Form helps to determine if the academic course meets a students graduation requirements and to aid students in better understanding how Financial Aid applies to study abroad. If a student chooses to Pay-Out-of-Pocket for their program, they are still required to meet with the Office of Financial Aid to understand how any and all aid distribution applies to students. If the academic course does NOT meet your academic requirements to graduate then please note that Financial Aid may not be able to cover the academic course tuition and fees. Please consult with the Office of Financial Aid to learn more.

The Course Selection Form requires that you meet with the Program Director, your Academic Advisor, and a Financial Aid Counselor.

The Health Clearance Form is an important and vital document for a study abroad program. This document allows the Study Abroad Office and your Program Director to note if a student has been medically cleared to travel by a healthcare practitioner. In addition, this document allows students to inform our team if you have any allergies, dietary requirements, and more so that we can better assist students as they prepare to go abroad.

At Clayton State, our first and most important priority is keeping students healthy and safe abroad. Please read and review over all of the information presented for the Health Clearance Form, in addition, any information regarding your health and safety abroad.

The COVID-19 Informed Consent Form is an acknowledgement of travel risks due to COVID-19. Please also refer to your programs Application Contract, Clayton State’s COVID-19 response page, and to the Resource tab on your programs webpage for more information.

Our main goal at Clayton State is to always prioritize our students’ health and safety, especially on a program going overseas. 

The Bahamas program will require that students understand the responsibility of being near and around water for the program activities.  Please note that if you are uncomfortable being near or around water there are alternative solutions for students and that you should speak with your Program Directors, Dr. Melvin, and Dr. Dyer, to inform them of your concerns.  We review over this in the waiver as well.
