Faculty Resources for Study Abroad

These resources will provide new and returning faculty with study abroad planning and preparation assistance for before, during, and after returning from abroad. The Study Abroad Office will continue to improve and implement the faculty portal with new resources to provide faculty will the necessary information to lead successful programs abroad.

All study abroad faculty program submissions will be submitted to the ServiceNow faculty portal. This portal will also feature additional resources such as a program dashboard to review documents submitted by students and more.


Program Proposal Process for Faculty-Led Programs

Submissions are due on the following dates for the Spring and Summer terms for programs going abroad for FY 2025.  We have closed program applications for FY 2024. 

Spring Semester Programs

  • Deadline for Program Proposal Process: Tuesday, October 31, 2023 
    • Programs launch date for program recruitment: Anticipated for March 2024 (we are providing Spring programs more time for recruitment due to the Summer term)
    • Programs First Payment and Application Deadline for Students: October 28, 2024
    • Program Dates Abroad: Spring Break during the Spring Term of 2025

Maymester/Summer Semester Programs

  • Deadline for Program Proposal Process: Friday, March 15, 2024 
    • Programs launch date for program recruitment: Anticipated for August 2024
    • Programs First Payment and Application Deadline for Students: January 20, 2025
    • Program Dates Abroad: Maymester Break (between Spring and Summer) or Summer Semester 2025 (i.e. first or second session terms of Summer)

All of the Program Proposal Documents must be turned in by these deadlines and are required for faculty leading a 2025 program.

Emergency Action Plan

Submission Date for the Emergency Action Plan Documents:

Maymester 2024 Programs: April 1, 2024

Faculty leading a study abroad program, see the Risk Management section below to learn more about this process. In the event of an emergency, the USG will ask for our Emergency Action Plans.


Faculty new to the study abroad process should begin by submitting the Program Director Application. This application will aid the Study Abroad Office with reviewing the submission request and setting up the next necessary steps to meet with faculty about their application.

The Study Abroad Office will notify faculty who have expressed an interest and returning faculty via email with quick steps and tips to complete this process Or faculty can request this email by emailing the Study Abroad Office.

Faculty conducting a study abroad program are offered yearly training to provide updates, policies, and procedures to lead a successful program abroad.

  • Faculty Orientation
    • Offered at the end of July
  • Risk Management Best Practices Workshop
    • Offered between mid-September & October
  • Abroad Best Practices Workshop
    • Early Spring Semester (January - March; depending on the programs departure)
  • Program Evaluation
    • Upon return from abroad, our office meets with the Program Director where we review the program year together.
  • New Program Director - Starting a New Program Discussion
    • Check with the Study Abroad Office to learn more about this introduction workshop to study abroad programs.

Program Directors can follow the Study Abroad Program Directors resource and training channel on Microsoft Stream with the Study Abroad Office.

The Study Abroad Office continuously endeavors to learn and support diversity and identity abroad by providing information to students during our Pre-Departure Orientation as well as working to aid faculty in preparation of their programs. She takes us on a journey through engaging personal travel stories and thought-provoking questions, providing us with tools to grapple with our discomfort and navigate differences with accountability and connection. Yes, travel! But be mindful. Be present.

The Study Abroad Office endeavors to monitor and assess risks for abroad programming. Faculty can find the following Risk Management resources in the faculty portal: an incident reporting system, tools for recognizing students in distress abroad, risk management policies and procedures, laws, and a general emergency checklist to review.

Emergency Action Plan

Faculty leading a study abroad program should develop risk mitigation strategies for your program. These strategies should be incorporated into your program planning and guidance to students and the Clayton State University Study Abroad Office.

What are Study Abroad Site Visits?

Study Abroad Site Visits are for prospective program directors to request potential funds to visit the country of study. Site Visits should be made at least a year in advance of the proposed study abroad program. i.e. If the study abroad program is set for 2019, the site visit should be conducted during the 2018 year. Site visits allow the requester to prepare the necessary preparations for a study abroad program for the following year.

Current Site Visit Applications are unavailable for 2022-2025. If you have any questions regarding this process please contact the Study Abroad Office for more information.

Faculty planning a Site Visit will also need to enroll in the CISI - Business Travel medical insurance coverage for their trip abroad. This information can be located on our website for Travel & Medical Insurance, under the tab 'CISI - Business Travel (for Faculty & Staff)' to learn more.

Clayton State University's Study Abroad Office works with Cultural Insurance Services International (CISI) on all outgoing study abroad programs Faculty leading study abroad programs are also covered by CISI. Learn more about travel and medical insurance

In addition, faculty can utilize the USG's RedPoint services to learn how to access additional travel and medical insurance.
