I.           Mission Statement:

The mission of the Office of University Relations is to increase the awareness, understanding, visibility, appreciation and positive image of “Clayton State … Your University … in Atlanta’s Southern Crescent.”  The office supports the mission and goals of Clayton State University by facilitating efforts of the Boards of Directors of the Clayton State University Foundation and the Clayton State University Alumni Association, as well as working with other University related groups to increase fundraising wherever possible.

 

II.          Statement of Long-Range Goals:

Decrease Clayton State University Foundation reliance on Clayton State University for staff support

Aimed at increasing financial stability, this goal will serve to redirect funding into other initiatives of Clayton State University.  Realizing that this will not be completely accomplished all at once, the goal will be to cover ˝ of one position per year.

Decrease Clayton State University Alumni Association reliance on Clayton State University for operational funding

Once again aimed at increasing financial stability, this goal will serve to redirect funding from alumni association operations into other initiatives of Clayton State University. 

Regular contact with alumni

Establish a name for the quarterly publication, publish the distribution dates, and solicit the alumni association to sell advertising in order to offset publication costs.  This goal is tied to the theme of image/marketing and advertising.

Assist the Clayton State University Foundation in fundraising efforts, specifically to establish faculty development funds

Tied to the theme of quality of instruction, as well as expanded academic programs, fundraising effort will be directed towards acquiring funds to support faculty development.

Increase and update alumni database

Secure funding, or work with student interns, to get correct address and telephone on existing alumni database, as well as to expand the database with graduates who are not in our system

1. Increase Clayton State University Foundation operating funds

Formation of Fund Raising Task Force for trustees

  • met several times

  • strategic plan developed

Increased meetings with the board of trustees to achieve goal of $500,000 unrestricted dollars

Source of ongoing donor cultivation and budget planning

2.  Work with Clayton State University Alumni Association Board of Directors to build supportive board

increased attention to new & existing board member committee to develop solid prospective board member list

creation of board member learning opportunities and continued development

Establish board who understands and is in sync with goals and objectives of the University

1.  Expand donor base and grow foundation operating funds and endowment

LRG#1 Decrease Clayton State University Foundation reliance on Clayton State University for staff support

>Staff to work more closely with Foundation Board of Trustees in fundraising efforts

>Hire database administrator to maintain accurate donor and potential donor records

Successful President’s Gala in Fall increased community awareness and donor base

Planning Spivey event to recognize original donors and get them into our system

Coordinating Legal Seminar in conjunction with Paralegal Advisory Board for late fall

Planning SBDC business success dinner for August to increase database of those connected to the University

FY02 Campaign Goal Achieved, FY03 Fac/Staff Goal Exceeded and solid fundraising efforts with trustees are paying off.  Appeal letters have been sent to previous donors.

Regular donor visits and contact with community at events and activities (87 donor cultivation visits this year-to-date with Unit Vice President)

2.  Establish fundraising opportunities for Clayton State University Alumni Association

SPT#2 Financial Stability

>continue to work with AA Directors to identify fundraising opportunities

>design and deliver board member orientation to educate on need for self-funding of operations

--No increased funding needed, but time will be necessary

3. Publish schedule of alumni association newsletters

LRG #3 Regular contact with alumni

Work with University Relations to establish consistent look and copy

- work with Media Relations to design newsletter

--Initially increased budget allocation for publications and postage

 

Working with graphic artist and printer to develop look of publication – gathering photos and stories

4. Increase funds for faculty development

SPT # 1&3-expanded academic programming and quality of instruction

>Identifying specific needs for faculty development and working with potential donors for sponsorship.

--Continued interaction with Resource Development Council to understand faculty development needs

Received in 2002, and not yet spent, a corporate donation of $10,000 for faculty development

 Continued requests of corporate donors

5.Increase and update alumni database

>Seek sponsor for lost alumni search

--Use of student interns to communicate with alums and seek updated information

Incorporating alumni info received into database (particularly after graduation)
