Members of the faculty and staff will participate in this inspiring, motivating ceremony that officially welcomes new students to Clayton State University. Clayton State University’s 12th Annual New Student Convocation will be held on Friday, August 11, 2017 from 10:00 am to 11:00 am in the Student Activities Center. The ceremony entails a brunch reception which will immediately follow the ceremony.
Yes, faculty and staff are kindly asked to RSVP by Friday, August 4, 2017 by 3:00pm. in order to appropriately plan for head count, buffet setup and seating (refer to additional details below regarding reception under the heading: Recessional and Reception Information)
Regalia are requested for this year’s program. If you are not able to wear regalia, there will be a reserved seating location available for staff and faculty program attendees. Business professional attire is requested for non- processional participants.
New students will arrive at the Student Activities Center, receive their convocation pin, and be seated in the designated student seating area.
The faculty marshal and deputy marshal will assemble the faculty in the processional order. A limited number of faculty (approx. 110) will sit on stage; the remaining participating faculty will sit in designated seating towards the rear of the ballrooms. Refer to posted signs for line-up designations in the SAC Gym. Just prior to convocation start time (approx. 9:50 a.m.), faculty processional into the ballrooms.
President Hynes and the members of the platform party will assemble in the Pre-Function area; (the area to the far left facing the Ballrooms). The Platform Party will follow faculty and staff procession.
Additional ceremony participants (orientation leaders, ushers, and volunteers) will be seated in a reserved area of the ballrooms.
The Faculty Marshal will lead the processional with Mace in hand, then the Deputy Marshal will follow. Faculty and staff will follow by academic rank in accordance with the published order. The Deputy Marshal will usher faculty and staff into the rows of seats on stage.
Highest rank faculty will be seated on stage as space permits. Additional faculty will be (led by a designated faculty member) seated towards rear of the ballrooms (with new students sitting towards the front). The Platform Party including Deans will proceed to seating area on stage and remain standing.
Faculty and staff will remain standing until the processional music and national anthem have ended; the faculty marshal bangs the mace twice, and President Hynes indicates that it is time to be seated.

(Concurrently: A New Student Convocation Committee member cues recessional music to start).
(The designated faculty who escorted the overflow of faculty/staff for the procession leads faculty/staff from the rear accordingly).
(The Deputy Marshal leads the students out).
Dr. Hynes and Platform Party will leave the stage down through the ballroom doors and proceed to lobby area of the Student Activities Center (in front of the vending machines). Faculty and staff will follow Platform Party. Dr. Hynes will create a receiving line by leading the first part of the recessional line.
The latter part of the recessional will form a line to the right side of the lobby.
(Ushers and Faculty Marshal will assist with line-up.)
The Laker Orientation Leaders and Campus Volunteers will assist in ushering students from recessional the Student Activities Center to the James Baker University Center for a brunch reception (buffet style). Faculty, staff and student seating will be arranged by respective college/schools and departments. Students, faculty and program participants will be instructed to proceed to the buffet area according to their table location(s). Faculty are expected to participate in the ceremony and the brunch reception. The reception is a campus tradition which promotes early engagement and interaction with our new students.
