STUDENT APPLIES FOR VA EDUCATION BENEFITS
The Department of Veterans Affairs will review your application and determine your eligibility. If eligible, the Department of Veterans Affairs will send you a Certificate of Eligibility or Eligibility Statement via mail. Please forward a copy of your eligibility information when you receive it.
After you have applied to Clayton State University and applied for the VA Education benefits, please submit the following documents to the Office of Financial Aid
An Education Kicker is part of the enlistment contract which increases the benefits rates. The Education Kicker is also referred to as Army College Fund or Navy Sea College Fund.
All Documents above can be submitted by any of the following methods:
After you have been admitted into Clayton State University, you will register for Orientation. Students usually register for their courses during orientation.
During Registration, every week (usually on Wednesdays), an email with the link for the Request to Submit Enrollment Certification Survey will be sent to students that have submitted documents to receive VA Education Benefits, have registered for classes, and have not submitted a request. Please complete the Survey when your schedule is complete and you do not expect to make any changes. Please be mindful that changes to the enrollment certifications (including changes to schedule, charges, HOPE awards, waivers, and major changes) can result in overpayment/underpayments of VA Education Benefits.
For those that submit an email request, your information is processed according to the first-come, first serve method. This means if a student has submitted the following:
Then I will process it in the order I receive it.
If you do not submit an email request, your enrollment certification will not be submitted until after the no-show deadline (please refer to the academic calendar). The computer randomly selects the order that these students information are processed. Department of Veterans Affairs use the enrollment certifications to process your benefits; therefore, not submitting the Request to Submit Enrollment Certification Survey can delay when you receive your benefits.
If you choose not to receive VA Education Benefits for the current term, please complete the Request to Submit Enrollment Certification Survey and select that you do not want to submit your enrollment certification to VA.
For CHAPTER 31: Vocational Rehabilitation & Employment only: recipients will not receive the survey if we have the approval from your Counselor, please send an email with your Laker ID when you are complete with your schedule and do not expect to make changes.
Prior to submitting enrollment certifications, The VA Coordinator will:
This process ensures that all courses are required for the completion of your degree program. If courses or additional transcripts are added later, please notify me ASAP via email: email@example.com.
An Enrollment Certification will be submitted to VA for the required courses.
VA Benefits do not include non-required courses. Non-Required courses can include:
If a course is not listed as a program requirement, but has been approved to replace a required course, please provide a copy of the approved Course Substitution Form to the Office of Financial Aid. Your enrollment certification cannot be adjusted to reflect the course without this form.
If you have a minor, please be sure the Department has approved the minor and updated the information in the system to reflect the minor. If not, courses required for the minor cannot be counted as required courses.
When registering, be mindful of the terms of your benefits. If you are unsure, please review the summary of benefits on the Clayton State Veterans Affairs website and/or www.benefits.va.gov/gibill/
Changes to your enrollment, charges, financial aid awards (HOPE), majors/minors, and such like can affect VA Education Benefits.
After your enrollment certification is submitted, the Department of Veterans Affairs automatically sends an email notification to you that your enrollment has been submitted.
On the SWAN, under the FINANCIAL AID link, you can view the total number of hours certified and the date it was submitted. If your enrollment is adjusted, then the date will update according to the date the adjustment is submitted. Your enrollment certification may not have been submitted if you do not see any information for the current term.
Please notify via email immediately, if this information appears to be inaccurate. The Department of Veterans Affairs use the enrollment certification to process your VA education benefits.
Students receiving the following VA Education Benefits are required to verify your enrollment:
Students receiving the benefits above can verify enrollment via:
After these steps have been completed, Department of Veterans Affairs will begin to process your VA Education Benefits.
Please be mindful that changes to the enrollment certifications (including changes to schedule, charges, HOPE awards, waivers, and major changes) can result in overpayment/underpayments of VA Education Benefits. Sometimes overpayments may result in the student owing either VA or the University additional funds. Please be mindful of the final charges and the amounts paid on your behalf to determine if overpayments will exist.
Questions regarding payment information should be directed to VA Processing Center
