Asset Management is part of Business Operations unit of Facilities Management. It performs asset management and control of all fixed assets over $5,000 in value. The department follows established policies and procedures associated with purchase, surplus, and reporting of capital assets. Facilities works with Accounts Payable and Fiscal Affairs to post/remove capital asset via the Asset Management module of the PeopleSoft Financial Management System to the general ledger. The Capital Asset reconciliation is completed by the 15th calendar day after month end and reviewed by the Assistant Controller for Daily Operations.
The unit manages a fleet of twenty-three vehicles that serve technicians of the department and management staff. The Facilities Coordinator maintains records of gasoline consumption and mileage by Facilities’ vehicles, as well as nine of Public Safety vehicles. Fleet Management does not provide repair service to its fleet. Vehicles are sent to an ARI Insights mechanic, which is approved by the Board of Regents for maintenance. The Facilities Coordinator keeps track of reservations and readiness of two shuttle vehicles used by CSU employees.
The Facilities Coordinator is responsible for all data related to the Fleet Management Program utilizing DOAS software VITAL (Vehicle Information Tracking And Logistics)
